1. Who We Are

BaiTrak Benefit Administrators Inc. ("BaiTrak," "we," "us") is a third-party benefits administrator operating under Baicorp Financial Inc. We are headquartered in Toronto, Ontario, Canada.

2. Scope

This policy covers personal information collected through the BaiTrak marketing website at baitrak.ca. Plan member data handled through our administration platform is governed by separate agreements between BaiTrak and the sponsoring employer or plan sponsor.

3. Information We Collect

Through this website, we collect only the information you voluntarily provide via our contact form:

• Full name
• Email address
• Organisation (optional)
• Role (plan member, HR leader, broker, or other)
• Your message

We do not use cookies for tracking or advertising. We do not use analytics tools that collect personally identifiable information.

4. How We Use Your Information

Contact form submissions are used solely to respond to your enquiry. We route messages to the appropriate internal team based on the role you select:

• Broker enquiries are directed to our partnership team
• All other enquiries are directed to our plan administration team

5. Data Retention

Contact form submissions are retained for 24 months to allow us to respond to and follow up on your enquiry. After this period, the data is permanently deleted unless you have become a client, in which case retention is governed by our client agreements.

6. Third-Party Services

To deliver contact form submissions, we use the following services:

• Microsoft 365 — Email delivery via Microsoft Graph API. Microsoft processes data under their Canadian data residency commitments.
• Cloudflare — Website hosting and security (including Turnstile challenge verification). Cloudflare processes minimal data for bot detection purposes only.

These service providers process data on our behalf and are contractually obligated to protect your information. They are not permitted to use it for their own purposes. We do not sell, rent, or otherwise share your personal information with any other third parties.

7. Data Residency

Plan administration data is stored and processed exclusively in Canada. Contact form submissions are processed through Canadian-hosted Microsoft 365 infrastructure.

8. Your Rights Under PIPEDA

Under the Personal Information Protection and Electronic Documents Act (PIPEDA), you have the right to:

• Request access to any personal information we hold about you
• Request correction of inaccurate information
• Withdraw consent for further communications

9. Quebec Residents

If you reside in Quebec, your personal information is also protected under An Act respecting the protection of personal information in the private sector (Law 25). In addition to the rights listed above, you may also request the de-indexation or de-referencing of your personal information, as well as data portability where technically feasible.
